How to make Coffee-Breaks a success
In this article, you will find practical communication tips on how to establish Crewting Coffee-Breaks in the long term and achieve high participation in your team.
The following tips will help you to create acceptance and promote the sustainable use of Coffee-Breaks, especially in the first few weeks after the launch. You don't have to implement everything, even individual measures can have a big impact.

Celebrate and share Crewting stories
Ask team members, HR, or managers to actively seek feedback and share positive comments (with consent) in the Coffee-Break channel, ideally on a regular basis during the first few weeks.
Ask for feedback and share quick wins: If you receive positive feedback about the Coffee-Breaks, e.g., that new colleagues got to know each other and discovered they have the same hobby, it's best to post it directly in the Coffee-Break channel.
Make sure that feedback or photos are only shared with the consent of those involved and exclusively in internal channels.
These stories create momentum and show the actual impact of the tool on your team.
Take photos during Coffee-Breaks and share them in the channel.
Ask your colleagues to take photos during Coffee-Breaks and post them in the Coffee-Break channel along with a few sentences. Positive stories and pictures will motivate other colleagues to participate in the Coffee-Breaks as well.
Photos are voluntary, of course, even a single picture or a short message can motivate others to participate as well.
Spread the Word from the Top
Ask managers to participate in Coffee-Breaks themselves and share their experiences briefly in the channel – even a short sentence can have a big impact.
Encourage executives and managers to get involved, share stories from their environment, and exemplify the benefits of Coffee-Breaks. When executives participate, others will follow. Experience shows that even a short Coffee-Break story in the channel can have a very positive effect.
Anchor Crewting in the corporate culture
Consider the contacts made during Coffee-Breaks as part of the corporate culture – not just a nice bonus. Position Coffee-Breaks as an opportunity to live your values such as collaboration, belonging, or continuous learning. A simple narrative such as:
“We believe that strong teams start with interpersonal relationships – even across time zones and functions.”
Use this narrative in announcements, team meetings, or the Coffee-Break channel to consciously link Crewting with your values.
Make Crewting easy and optional (but desirable)
Keep Crewting casual and uncomplicated, because it's not just another meeting. Emphasize that these are casual 15- to 30-minute conversations designed to foster curiosity, cohesion, and cross-functional understanding.
Make it clear that participation is voluntary and does not create additional pressure to perform. Crewting should spark curiosity, not obligation.
Be creative
Bring up Crewting in team and company meetings. Share photos and stories in the channel. Report on Crewting in update emails and lead by example. It is particularly important to talk about Coffee-Breaks, as this will guarantee their success and ensure strong cohesion.
If you don't have much time, focus on three things:
- Talk about it regularly
- Share positive stories
- Lead by example
