How do Coffee-Breaks work in Microsoft Teams?

This article provides step-by-step instructions on how to participate in Crewting Coffee-Breaks, from receiving your first invitation to joining the meeting.

Getting started 


As soon as you receive an invitation, the Crewting chatbot will open in Microsoft Teams.

To participate, you must give your consent once by clicking the “Agree” button in the chat.


You can open the consent form by clicking on the corresponding message (for example, to vote for an appointment or postpone an appointment), or by clicking on “Add app” at the bottom right, directly above the send button. 


Once you have agreed, you will receive a welcome message. The first steps are also explained there.


💡 When opening the app for the first time, each user must log in once with their Microsoft Teams account. If you encounter any problems during startup or do not have the appropriate permissions, contact your Crewting admin or us directly via chat here in the Help Center.



Your availability


We recommend that you check your availability immediately after logging in for the first time so that coffee breaks can only be scheduled at suitable times.  

  

You can find the settings in the Crewting app here: Microsoft Teams > Chat list > Crewting > App > Settings


The default times are Monday to Friday from 8 a.m. to 5 p.m. If you want to change your availability, you can do so using the slider in the Coffee Break app settings.


If you don't make any changes, the default times (Monday to Friday, 8am to 5pm) will automatically apply.


💡 Tip: Link your personal calendar in the app settings via Add Calendar so that Crewting can take your personal appointments into account when planning coffee breaks. In this article, we show you how to add your calendar.



Scheduling


Depending on your company settings, there are two options:


  1. Automatic scheduling: You will receive a fixed invitation directly.
  2. Appointment selection: You will receive up to 5 suggestions from which you can choose one within the specified period (usually 2 days).


Important: If you do not select an appointment, one will be set automatically, provided this setting has been activated by your company.





Invitation


You will always receive Coffee-Break invitations in Microsoft Teams via the chatbot. You will also receive a calendar invitation by email. 

  

The invitation itself will show you who you have been matched with for the coming week and which video platform or boost has been activated for the Coffee-Break.  

  

You can use either Microsoft Teams, Google Meet, or Crewting Meet as your video platform. The boost may include personal questions or a quiz, for example, which will help you get the conversation started and will appear during the coffee break.


You don't need to do anything else here; the information is just to help you prepare for the Coffee-Break.





Reschedule Coffee Break


Of course, appointments get rescheduled in everyday life. That's why you can reschedule Crewting appointments directly via the invitation in the chatbot in Microsoft Teams or reschedule them via the calendar invitation.


When you reschedule, the other person's availability is displayed immediately and you can set a new appointment. 


💡 Once a Coffee-Break appointment has been made, it can only be changed using the “Reschedule appointment” button or the corresponding link in the calendar invitation. The original coordination cannot be used for rescheduling.



Participation


You can participate directly via Microsoft Teams or the Business Calendar!  

  

60 and 5 minutes before the appointment, Crewting will send you a reminder that you can use to participate directly in the coffee break. You will find the button to join directly in the corresponding message. You will also find a link in the calendar in your calendar invitation that you can use to participate in the coffee break.


We recommend joining directly via the button in the Crewting reminder in Microsoft Teams. Alternatively, you can also use the link in your calendar invitation.
